Who we are

Sportswap is a tournament presented by Flyhawk × HER5. The data controller responsible for this site is Kimberley Elsworth. If you have any questions about your data, get in touch at [email protected].

What we collect, and why

When you submit the register-interest form we collect your name, email address, mobile number, and your typical sport so we can contact you about Sportswap. We only use these details to let you know where and when the tournament is happening, and to answer any questions you send us.

We do not sell your data, and we don't share it with third parties other than the service providers listed below who help us run the site and the event.

Cookies and similar technologies

We use cookies and similar technologies for security, analytics, and to improve the experience on the site. You can change your choices at any time via the cookie banner or the link in the footer.

  • Cloudflare — strictly necessary

    Cloudflare sits in front of this site to protect it from abuse and to keep it fast. It sets short-lived cookies such as __cf_bm and cf_clearance for bot management. These are essential for the site to work safely and cannot be switched off.

  • Matomo — analytics

    We use a privacy-focused Matomo install to count visits and see which pages people find useful. Matomo data is aggregated and IP-anonymised, and is only loaded if you choose to allow analytics.

  • Cloudflare Web Analytics — analytics

    In addition to Matomo we use Cloudflare's lightweight Web Analytics to monitor performance and traffic patterns. It is cookie-less but the tag is only included when you opt in to analytics.

  • KTS Technology — user-experience monitoring

    KTS Technology helps us see anonymised interactions with the site — for example, which buttons people miss — so we can make it easier to use. No personal information is collected, and the script is only loaded if you opt in to user-experience monitoring.

How long we keep your data

Signup details are kept until the end of the first Sportswap tournament series, plus 12 months, after which we delete or anonymise them. You can ask us to delete your data sooner by emailing [email protected].

Your rights

Under UK GDPR you can ask us for a copy of the data we hold about you, ask us to correct it, ask us to delete it, or ask us to stop processing it. Email [email protected] and we'll respond within 30 days. You also have the right to complain to the Information Commissioner's Office if you think we've mishandled your data.

Changes to this policy

If we update how we handle your data, we'll change the "last updated" date at the top of this page and, where the change is material, let everyone on the signup list know.
